Do you have a Welcome Pack you use in your business?

Trust me, you need to start thinking about adding one to your operation.

A Welcome Pack? Wait? What?

Yup, you read it right.

I love a Welcome Pack! Any client that signs up with me automatically gets one.

When your couples book their venue - they get a Welcome Pack.

( If you're involved with a venue that doesn't, read on to see why they also should be sending out a Welcome Pack!!)

When you rent a house / lease a car / book a holiday - you get a welcome pack!

They contain so much vital information all in one place!

"But I am a photographer, florist, celebrant, musician, wedding planner" .... I can hear you say ... yup, but you too can totally benefit from sending out a Welcome Pack!

In fact any business that interacts with clients can and should be utilising one.

So, why does your wedding business need a Welcome Pack?

You know what you do in your business - you do it every day and you do it well, in fact, it has become second nature to you.

You know the processes and the systems you have in place.

You know what you expect from your clients.

But they don't!

They are not mind readers, they are booking a lot of different suppliers at the moment and every business has slightly different systems, from requirements, meetings to payment dates.

They may have hired a photographer before ... and they know what they did then ( if they can actually remember, because as humans we have a pretty short memory of that kind of thing!) ... but do you do things exactly the same way?

How do they know what to do next and what to expect ...

Ta-da ... In steps the Welcome Pack!

A simple outline of what's going to happen, what to expect and what you need from the client. Basically everything you NEED them to know, and what you NEED from them.

In one place all together.

Sending it;

☑️ ticks off in your head that they have had all the information needed, all in one place, saving you time pulling everything together.

☑️ provides an awesome first impression of your business to the client that you're super organised and professional.

☑️ walks them through the process of what's going to happen and what they need to do and when.

☑️ answers questions they may have (and can address questions they may not want to actually ask out loud).

☑️ saves you time with all of those backwards and forwards emails / messages / calls answering questions, chasing forms, explaining the steps.

Win Win right?

And the brilliant thing - once it's done, that's it! Its done! It becomes part of your on-boarding process with new clients. You only need to update it annually as you change prices or if you add services.

So, the next question is, what do you need in your Welcome Pack?

That varies from business to business, depending on what you offer - a celebrant will be different to a florist, a DJ will be different to a photographer.

And your pack can be as long or short as your business dictates.

But a basic starting point to think about including is;

Front cover - Your business.

Name, photo, email, website.

1. - Introduction.

Welcome and a thank you.

2. - About.

All about you, your experience and the team.

3. - Communication.

How they can communicate with you.

4. - Process.

The steps that happen next.

5. - Requirements.

What do you need from them and when - forms, schedule meetings, timeline, contact details.

This is the place to add those forms you need completing.

6. - Checklist.

A simple checklist.

This will remind them to get the forms above filled in and back to you.

7. - Things to Know & FAQs

Any other relevant information and the questions you get asked most.

8. - Summary.

A thank you and again briefly all your info - emails, website, socials.

This is a simple start and framework that you can tailor to your business and your needs, some sections you may not need, so can be a full page whilst others a couple of lines.

That will really vary from business to business.

Still not sure how to begin?

I'm happy to help, just drop me a line today and we can get your very own Welcome Pack organised.

Happy organising,

Sx
